JOB SUMMARY:
O'Neill Events & Marketing is seeking an energetic, outgoing and driven Event Director & Sponsorship Coordinator to join the O'Neill team. This role will work extensively on special events, annual festivals and client projects in a fast-paced, team-friendly environment. The ideal candidate must be able to successfully organize, prioritize and manage multiple projects on a deadline-driven basis.
THE EVENT DIRECTOR & SPONSORSHIP COORDINATOR SHOULD:
- Be organised and professional
- Be able to delegate and support a working group
- Be personable and can present ideas and virtues of the client/event
- Be creative in looking at new ways to service and satisfy sponsors and/or clients
JOB RESPONSIBILITIES:
Event Director duties include:
- Assist the O’Neill team with the planning and coordination of all events and special projects, including on-site event management, setup and tear-down
- Organize and manage pre and post-event activities including organization, inventory, storage of event materials and event preparation kits
- Manage and maintain all event operations costs, ensuring budget accountability
- Maintain a general operating timeline
- Meet with client and provide updates on event operations and planning
- Attend and participate in any meetings and conferences with any entities or government agencies as are necessary for developing, implementing and sustaining the event
- Assist in developing an event layout and create maps for sponsors, entertainers, staff, volunteers and vendors.
- Manage and oversee all event signage needs
- Coordinate, order and fulfill all related area logistical needs with property owners, vendors and staff.
- Oversee on-site sponsorship logistics, including footprint, power and site access
- Coordinate and order all festival deliverables and supplies
- Provide event marketing support for each event. Assist with creating and implementing social media content/strategies for company social media platforms and assist with social media for individual events/clients.
- Provide direct event, marketing and client assistance to the President/CEO, along with other team members as needed
Sponsorship coordinator duties include:
- Coordinating all phases of a festival/event sponsorship program
- Work with O’Neill President to identify targets and assist in managing timeline and tasks for all sponsor programs.
- Meeting stakeholder needs, managing renewals and negotiations
- Overseeing communication with sponsors, aligning business and market needs
- Overseeing sponsorship strategy and leverage planning
- Monitor budget and report on it regularly
- Research and apply for annual calendar year grant funding opportunities
- Create official after-action reports and submit for funding reimbursement as needed
- Work with event leadership to develop target sponsor list and event financial goals for fundraising
- Create/update general event sponsorship package and event overview
- Provide update on prospective sponsor contacts to the event stakeholders
- Develop, facilitate and maintain relationships with prospective sponsors
- Create custom sponsorship packages based on client needs
- Manage all sponsor contracts and invoicing
- Create a sponsorship wrap-up report to distribute to client and sponsors
- Fulfill all sponsor requirements as established in final contract
- Marketing materials
- Signage
- Tickets
- Logistical needs: Permits, power, etc.
- On-site management for all sponsors, including advance communications, load-in, site needs, load-out
REQUIRED QUALIFICATIONS (JOB KNOWLEDGE, SKILLS, AND EDUCATION):
- A minimum education level of: BA/BS Degree (4-year)
- Area of Study: Events, Development, Marketing, Business or related
- A minimum of 5 years of related work experience
- Superior communication skills, both oral and written.
- Expertise in identifying opportunities, developing strategies and negotiating creative solutions.
- Excellent organizational skills and attention to detail with the ability to multi-task.
- Exceptional presentation skills while effectively using multi-tasking and problem solving skills.
- Capable of maintaining a flexible work schedule, which includes working event nights, sponsor events, community programming, etc.
- Ability to work independently while prioritizing and meeting deadlines.
- Ability to take initiative and problem-solve and implement innovative solutions in the event arena and on client projects.
- Strong computer skills in MS Office/Google Suite: word processing, spreadsheets, PowerPoint and general computer knowledge; Photoshop and design skills a plus.
- Must have own vehicle for errands, deliveries, etc.
- Must be able to handle physical work, including lifting 20+ pounds and in rigorous work conditions (indoors and outdoors, during all seasons).
- Ability to travel
